How FieldBook protects your data
Every claim on this page is something FieldBook has built and tested, not a promise you're asked to take on faith. Where something is planned but not built yet, it says so.
Your farm is yours alone
Your farm, your fields, your agreement and your photos are walled off from every other customer. That isn't a policy; it's built into the database itself. Every row of your data is tagged to your account, and the database refuses to hand any of it to anyone outside your farm, even if the app asked it to.
An automated test suite of more than 200 checks tries to break across that wall from one account into another and confirms it can't: on farms, fields, agreements, evidence photos and team invites alike. Those checks run every time anything changes.
FieldBook never touches your Rural Payments login
FieldBook does not connect to, sign in to, or submit anything to the Rural Payments Agency. It never asks for your Rural Payments password. You apply through the official Rural Payments service yourself; FieldBook helps you plan before and keep on top of the agreement after. The only things it reads are the public map of field parcels the government already publishes, and the agreement PDF you choose to upload.
Your SBI stays yours
FieldBook uses your SBI to look up your field boundaries from the public map. If you save your farm, the SBI is saved with it: it's the reference your exported records carry, so an inspector can tie your evidence to your business. That farm record is the only place it lives. It is never logged and never shared, and the agreement PDF you upload has the SBI stripped out before anything is stored. Checking eligibility with the free pre-qualifier stores nothing at all.
Your photos and evidence stay private
Evidence photos live in private storage; there are no public links to them anywhere. When you or someone on your team opens a photo, the app checks you're allowed to see it and then generates a one-off link that expires in ten minutes. Nobody without access to your farm can reach your files.
Everything is encrypted at rest. The storage FieldBook uses encrypts every file and every database record automatically (AES-256), and that can't be switched off.
The right people, the right access
You control who can do what:
- View-only members can look but can't change anything.
- Contractors can add evidence from the field, and nothing else.
- Owners and advisers manage the farm and its agreements.
You add a helper by sharing a single-use code that expires after 7 days. No email address of theirs is needed, and you can revoke a code at any time before it's used.
Your data is exportable
You can compile and download an inspection-ready evidence pack today: your 7-year record, as a zip you keep. A one-click export of your whole account is planned, and isn't built yet; when it ships, this page will say so.
Your data is never sold
Your farm data is not sold, rented or shared with anyone. It's yours.
